A shared mailbox helps until two people answer the same email, or nobody does because each assumed the other had it. Knowing who still owes what turns into a spreadsheet, and the chasing itself becomes a job nobody wants.

The email becomes a request
A client emails your practice address with what they have for March. Forwarding passes it to Tend, where it opens as SUP-207 with their attachments on the request.

An owner, a due date, a checklist
You assign it to whoever handles that client's close and set the date it is due. A document request lists the two statements still missing.

The client sees what is outstanding
Their tracking page lists what is still owed, and they can upload files there. Tend emails a reminder every three days until each item is ticked off.

Done, in one email
When the last statement lands, reply and resolve in one step. The client gets one email confirming the work is done.

Document requests
A checklist of what the client owes, on the request itself. Reminders go out by email every three days until you mark each item received or resolve the request.
Recurring requests
Monthly closes and weekly payroll open themselves on schedule, with the client and owner already set.
One owner per request
Assign by hand, by queue default or in turn. Everyone sees who has it, and Tend warns you when a colleague has the same request open.
Client portal
Clients sign in with an emailed link, with no password, to see their requests, what is still outstanding and when to expect a reply. Uploads take files up to 20 MB each.

Publish short how-tos, such as how to download a bank statement, and the portal suggests them as clients type a request.
Time capture
Record time against each client as you work and export it as CSV for your own billing.
When Tend is not the right fit
- You need practice management for lodgement deadlines, engagement letters or e-signatures. Tend handles the requests around that work, not the compliance calendar.
- You want a document vault. Files stay attached to the request they arrived with; Tend is not long-term document storage.
- You want client invoicing or a connection to your accounting software. Neither is part of early access, and time exports as CSV instead.
- One person answers all client email and their own inbox works well. Tend earns its place when more than one person shares the load, or when chasing paperwork takes real time.

- How is this different from a shared mailbox?
- A shared mailbox shows everyone the same emails. Tend shows who owns each request, when it is due and what the client still owes, and keeps internal notes off the client's thread. Your practice address stays the same.
- Will clients have to use a portal?
- No. Clients can carry on by email. The portal is there for clients who want to see their requests and upload files, and it signs in with an emailed link instead of a password.
- How does document chasing work?
- Add the items a client owes to their request. Tend emails a reminder every three days listing what is still missing, and stops when every item is marked received or the request is resolved.
- Where is our data stored?
- In Sydney, Australia: the application and the database both run there. The security page lists every service that handles your data and where.
- What does it cost?
